BambooHR vs Gusto vs ArieWorks: Which One Actually Fits Your Team?

A side-by-side comparison of three popular HR platforms for small businesses - what each does best, where each falls short, and how to decide.

February 10, 2026

If you're a small business evaluating HR software, you've probably landed on three names that keep coming up: BambooHR, Gusto, and ArieWorks. They all serve small businesses. They all handle core HR functions. And their marketing all says roughly the same thing - "we make HR easy."

The truth is more nuanced. These three platforms have meaningfully different strengths, and the right choice depends on what your company actually needs. This comparison breaks down the real differences so you can make an informed decision rather than choosing based on which demo was the most polished.

The Short Version

BambooHR is an established HRIS that does employee records, onboarding, and time-off tracking well. It's a reliable database for your people data.

Gusto is a payroll platform that expanded into HR. It runs payroll exceptionally well and layers on HR basics - onboarding, time tracking, and benefits.

ArieWorks is an AI-powered HR platform built as five purpose-built products. It focuses on active compliance guidance, document generation, and giving small businesses HR capabilities that typically require a dedicated HR person.

Employee Records and Data Management

BambooHR excels here. It was built as an HRIS first, and it shows. Employee profiles are comprehensive, the interface is clean, and employees can update their own information through a self-service portal. Custom fields, org charts, and employee directories are all polished.

Gusto handles employee records adequately. The data is there - contact info, compensation, tax documents, employment history - but it's organized around payroll rather than HR. Finding certain information requires navigating through payroll-centric menus.

ArieWorks takes a different approach. Employee records are centralized in the Core HR product, but the system is designed to actively use that data - surfacing compliance issues, pre-populating documents, and connecting employee information across all five products. The records aren't just a database; they're an active input to the platform's AI capabilities.

Payroll

Gusto wins this category clearly. Full-service payroll in all 50 states, automatic tax calculations and filings, direct deposit, contractor payments, and a track record that spans over a decade. If payroll is your primary concern, Gusto is hard to beat.

BambooHR offers payroll as a separate add-on, and it's not available everywhere. It's competent where it's available, but it's clearly not BambooHR's core strength. Many BambooHR customers use a third-party payroll service.

ArieWorks offers payroll through AriePay, which takes a unique approach: AI-powered payroll with pre-validation that catches errors before they process, and a zero-PII architecture that processes payroll without storing sensitive personal information long-term. It's newer than Gusto's payroll but architecturally more modern.

Compliance Support

This is where the platforms diverge most significantly.

BambooHR stores your policies and documents, but it doesn't actively help you create them or monitor compliance. You bring your own compliance knowledge - BambooHR gives you a place to put it.

Gusto provides basic compliance checklists and some state-specific guidance, primarily around payroll tax compliance. It sends reminders for things like tax filing deadlines and new hire reporting. It's helpful but surface-level - it won't tell you that your PTO policy doesn't comply with a new state law.

ArieWorks makes compliance its central value proposition. The AI actively monitors your policies against current federal and state employment law, flags potential issues, generates compliant documents, and answers policy questions with cited sources. For a small business without an HR expert on staff, this is the most significant differentiator.

Document Generation

BambooHR provides basic templates for offer letters and a few other documents. You fill in the fields, it generates the document. No AI assistance, no compliance checking.

Gusto generates payroll-related documents automatically (W-2s, 1099s, pay stubs) but doesn't offer much in the way of HR document generation beyond basics.

ArieWorks generates a wide range of HR documents with AI: employee handbooks, job descriptions, offer letters, PIPs, disciplinary notices, and more. The generated documents include bias detection, inclusive language analysis, and compliance checking against applicable law. This is one of ArieWorks' strongest capabilities.

Recruiting

BambooHR has an applicant tracking system (ATS) that handles basic recruiting - job postings, applicant management, interview scheduling. It's functional but not competitive with dedicated recruiting tools.

Gusto doesn't offer recruiting features beyond basic job posting and onboarding.

ArieWorks offers ArieScout, a purpose-built recruiting product with AI-powered candidate sourcing, resume screening, and pipeline management. Because it's a dedicated product rather than an add-on feature, it goes deeper than BambooHR's ATS.

Benefits Administration

Gusto handles benefits well - health insurance, dental, vision, 401(k), HSA/FSA, commuter benefits, and workers' comp. Benefits are integrated with payroll, so deductions are handled automatically.

BambooHR doesn't offer built-in benefits administration. You'll need a separate benefits platform or broker.

ArieWorks offers ArieCare for benefits administration, including an AI-powered benefits advisor that helps employees choose the right plans and handles enrollment workflows.

Pricing Comparison

BambooHR doesn't publish pricing on its website - you need to request a quote. Industry reports suggest pricing starts around $6-8 per employee per month, with additional costs for modules like payroll and performance management.

Gusto is transparent with pricing:

  • Simple: $40/month + $6/employee
  • Plus: $80/month + $12/employee
  • Premium: Custom pricing

ArieWorks uses modular pricing - you pay for the products you use:

  • Starter: $49/month + $8/employee (Core HR)
  • Business: $99/month + $12/employee (Core HR + 2 products)
  • Pro: $249/month + $15/employee (All 5 products)

The modular approach means a company that only needs Core HR and Payroll pays less than a company that needs all five products. This flexibility is an advantage for small businesses with specific needs.

The Decision Framework

Choose BambooHR if:

  • You already have compliance expertise in-house
  • Your primary need is a clean, stable employee database
  • You use or plan to use separate best-of-breed tools for payroll, benefits, and recruiting
  • You value maturity and a large integration ecosystem

Choose Gusto if:

  • Payroll is your biggest pain point
  • You want payroll and basic HR in one platform
  • You need built-in benefits administration
  • You prefer transparent, predictable pricing

Choose ArieWorks if:

  • You don't have a dedicated HR person
  • Compliance guidance is important (not just policy storage)
  • You want AI-generated HR documents with bias detection
  • You want to start with one or two products and add more as you grow
  • Data privacy is a priority (zero PII storage for payroll)

What We'd Actually Recommend

If we're being honest, the "right" choice depends less on features and more on your company's biggest gap.

If your biggest gap is paying people correctly and on time, start with Gusto. Fix the payroll problem first.

If your biggest gap is organizing employee data and processes, start with BambooHR. Get your records in order.

If your biggest gap is knowing what you're supposed to be doing - the compliance, the policies, the documents you should have but don't - start with ArieWorks. Getting HR guidance when you don't have an HR expert is the problem it's designed to solve.

All three are significant improvements over spreadsheets and good intentions. Choose one and implement it. The worst choice is no choice at all.
